General Summary:

The Accounting Clerk is responsible for purchasing and accounts payable functions. Purchases materials, supplies and equipment as authorized and maintains inventories and internal controls. Maintains appropriate inventory levels. Conducts inventory counts and assists with accounting functions as required. Performs accounts payable functions to include the reconciliation, authorization, coding, and payment of vendor invoices. Assists the Accountant and Accounting Technician with their duties.


Essential Job Functions:

  • Purchases all service order parts and supplies needed from approved vendors.
  • Maintains records of purchases, vendors, and catalogs to ensure availability of information.
  • Negotiates returns of defective material and equipment.
  • Conducts periodic inventory counts to monitor stock levels and ascertain purchasing needs.
  • Keeps receiving and inventory logs for record keeping purposes. Prepares receiving and inventory reports as requested.
  • Reviews and processes vendor invoices, packing slips, purchase receipts, and purchase orders in accordance with Accounting and Operational requirements.
  • May recommend inventory and material distribution changes required to improve efficiency and effectiveness.
  • Uses generally accepted accounting principles and established internal controls to perform accounts payable duties.
  • Reconciles vendor invoices and checks for proper approval.
  • Codes vendor invoices and inputs data into accounting software for payment and tracking.
  • Processes accounts payable payments in accounting software and secures payment approval ensuring invoices are paid according to due dates.
  • Manages company cell phones and reconciles cell phone statements.
  • Works closely with and assists the Accountant and Accounting Technician.
  • Assists with inventory and accounting functions as required.

  • Performs all other related duties as assigned by Management.

  • Basic knowledge of accounting principles and practices.
  • Knowledge of Company products and services.
  • Knowledge of Company policies and procedures.
  • Knowledge of purchasing policies, processes, and procedures.
  • Knowledge of warehouse and inventory control policies and procedures.
  • Knowledge of accounts payable policies, processes, and procedures.
  • Knowledge of general office procedures including basic bookkeeping practices.
  • Knowledge of Contact Management systems; Order processing systems; Spreadsheet software and Word Processing software.
  • Must have excellent written and oral communication skills.
  • Ability to maintain strict confidentiality in accordance with Company policy.
  • Ability to operate various office equipment such as personal computer, various software programs, and telephone systems.
  • Ability to be diplomatic and tactful in given situations.
  • Ability to communicate with customers, employees, and various business contacts in a professional and courteous manner.
  • Ability to organize and prioritize multiple work assignments.
  • Ability to pay close attention to detail.
  • Ability to make sound decisions using information at hand.
  • Ability to work safely and independently.
  • Ability to work independently and within a team.


Education and/or Experience:

Associate degree or equivalent from a two-year college or technical school or a minimum of 2 years experience in bookkeeping or accounting.


Certifications, Licenses, Registrations:

Must have, or be able to obtain, and maintain a valid South Dakota driver’s license, have an excellent driving record and be insurable under the Company’s insurance policy.

Working Conditions:

Good working conditions with the absence of disagreeable conditions. Climate controlled building with adequate lighting and space. The noise level in the work environment is usually moderate.
