General Summary:
Provides support to the Service Delivery team in overseeing all aspects of service delivery projects. This position is responsible for interacting with project teams to ensure all activities in a project life cycle are conducted and executed on time. Will assist in the development of comprehensive plans and the management of customer and vendor relations. Must communicate with resources to accomplish project tasks and maintain project schedules. Maintains service delivery project records, invoices, materials used, etc. Prepares correspondence, tracks projects, and provides necessary follow-up. Establishes and preserves the filing and paperwork involved in service delivery projects.

Essential Job Functions:
  • Maintains a CRM database to track all aspects of service delivery projects, including customer correspondence, contract obligations, materials used, and other required documents.
  • Prepares plans, specifications, contracts and amendments, reports, and general correspondence to document the various requirements of projects.
  • Serves as the single point of contact for assigned projects, with the responsibility for various aspects of the development and implementation of projects.
  • Collaborate with internal and external stakeholders affected by assigned projects.
  • Facilitates and troubleshoots problems associated with coordination, development, and design of projects.
  • Audit records in various OSS software to ensure proper provisioning and billing of services.
  • Assists in the management and monitoring of the e-rate connectivity programs.
  • Handles quotes, service order entry and service delivery functions for the business sales channel.
  • Define and document procedures by agreed methodology.
  • Support the maintenance and entry of billing and project records, including feedback for process improvements.
  • Create, distribute, and track correspondence within the Service Delivery Department.
  • Advise and assist project team members in the application of project procedures and recording and reporting standards.
  • Coordination of add/move/change requests including timely and accurate ordering and activation of service requests by the Company’s business sales channels.
  • Communicates with customers in providing quotes and service delivery functions for the Company’s connectivity products.
  • Develop and support effective communication mechanisms between the project teams.
  • Must be able to work on-site at a Golden West designated reporting location.
  • Must be able to travel to and from other Golden West locations, as needed, to perform position duties or assigned functions.

Knowledge, Skills & Abilities:
  • Knowledge of Company products and services.
  • Knowledge of Company policies and procedures.
  • Knowledge of project management principles and practices.
  • Excellent computer skills using Windows, Excel, Word, and Visio.
  • Knowledge of customer expectations and Company processes for service level agreements and other commitments to ensure projects stay on track and within budget.
  • Good verbal and written communication skills, particularly in correspondence utilizing mailing services and e-mail.
  • Must demonstrate a positive attitude and courteous manner.
  • Knowledge of the telecommunications industry and services.
  • Basic understanding of accounting principles and practices.
  • Good organizational and filing skills that will aid in the closeout of completed projects within specified timelines and keeping projects current.
  • Ability to operate office equipment such as copiers, faxes, and printers.
  • Ability to multi-task while maintaining accuracy.
  • Ability to work within a team structure, and also independently without continual supervision.
  • Must be self-motivated and able to make independent decisions.
  • Must be flexible and be able to handle ambiguity.
  • Ability to pay close attention to detail.
  • Ability to locate and correct discrepancies in data records.
  • Ability to recommend operating process changes along with problem/solution resolution.
  • Must be able to work on-site at a Golden West designated reporting location.
  • Must be able to travel to and from other Golden West locations, as needed, to perform position duties or assigned functions.
Education and/or Experience:
Degree in office management, administrative, and/or related field. Minimum of two years experience working in an office environment. Project management certification preferred.

Certifications, Licenses, Registrations:
Must have, or be able to obtain, and maintain a valid South Dakota driver’s license, have an excellent driving record, and be insurable under the Company’s policy carrier.
Must be willing to obtain a Project Management certification within three (3) years.

Working Conditions:
Good working conditions with the absence of disagreeable conditions. Climate-controlled building with adequate lighting and space. The noise level in the work environment is usually quiet.
