General Summary:

 

The main function of Inventory Control and Dispatch is to review and reconcile service orders prior to invoicing. Conducts inventory counts and assists with accounting functions as required. Receives and distributes materials, supplies and equipment as authorized and maintains inventories and internal controls. Prepares outgoing parcels for shipping. Assists the Purchasing Agent, Accounts Receivable, and the Dispatcher.

 

Essential Job Functions:

  • Enters service orders in TigerPaw software.
  • Barcodes inventory.
  • Working knowledge of basic accounting principles and practices.
  • Cross-trained to backup Dispatcher by answering phones, creating service orders, scheduling technicians, and responding to emails.
  • Tracks distribution of materials and ensures delivery to appropriate departments.
  • Maintains inventories and internal controls by tracking and organizing inventory stock.
  • Negotiates returns of defective material and equipment.
  • Works closely with and assists Purchasing Agent and the Dispatcher.
  • Works closely with Accounts Receivable and assists in billing customers.
  • Reviews and reconciles service orders prior to invoicing.
  • Receives shipments and assists unloading trucks if needed.
  • Checks in merchandise, matches merchandise to purchase orders, and/or lets appropriate department know of delivery.
  • Label and stage parts for jobs. Performs other stockroom maintenance duties.
  • Must be able to lift, pull, and or, push up to 50 pounds on an occasional basis.
  • Reads service orders to determine items to be moved, gathered, distributed or shipped. Marks materials with identifying information.
  • Prepares outgoing parcels for shipping.
  • Tracks distribution of materials and ensures timely delivery.
  • Performs physical inventory counts quarterly of all warehouses and service technician vehicles.
  • Assists with scheduled inventory audits in accordance with Accounting and Operational requirements.
  • May recommend inventory and material distribution changes required to improve efficiency and effectiveness.
  • Assists service technicians with stocking vans and checking parts out for installation.

Other Responsibilities:

  • Performs all other related duties as assigned by Management.

Knowledge, Skills & Abilities:

  • Knowledge of Company products and services.
  • Knowledge of Company policies and procedures.
  • Ability to understand and organize purchase orders, receipts, issue tickets, packing slips and sales invoices.
  • Knowledge of inventory controls, warehouse coordination and distribution.
  • Knowledge of general office procedures including basic bookkeeping practices.
  • Knowledge of sales, use, and excise tax situations.
  • Knowledge of Contact Management systems; Order processing systems; Spreadsheet software and Word Processing software.
  • Excellent written and oral communication skills.
  • Ability to operate various office equipment such as personal computer, various software programs, and telephone systems.
  • Ability to be diplomatic and tactful in given situations.
  • Ability to communicate with customers, employees, and various business contacts in a professional and courteous manner.
  • Ability to organize and prioritize multiple work assignments.
  • Ability to pay close attention to detail.
  • Ability to make sound decisions using information at hand.
  • Ability to work safely and independently.
  • Ability to understand and verify requisitions, packing slips, invoices and other records.
  • Ability to work independently and within a team.
  • Ability to multi-task with frequent interruptions.

 

Education and/or Experience:

 

High school diploma or equivalent, plus a minimum of two years of experience with accounting processes, inventory controls, shipping and receiving or related experience.

 

Certifications, Licenses, Registrations:

 

Must have, or be able to obtain, and maintain a valid South Dakota driver’s license, have an excellent driving record and be insurable under the Company’s insurance policy.

Working Conditions:

Good working conditions with the absence of disagreeable conditions. Climate controlled building with adequate lighting and space. The noise level in the work environment is usually moderate.
